Inventory Control manages inventory levels and costs. You can maintain stock balances for an item in a number of locations. Locations can be physical, for example a warehouse or they can be used to denote classifications of stock. An inventory is a list of all the goods and materials held by your organization for future sale or use, in other words, a list of all those items held in stock.
Using the Inventory functions you can control these goods and materials, trace their whereabouts and ensure you have the correct amount of each item available. You can specify that stock is held in bins within each location. All stock movements are entered using a common entry screen. Stock can be held at standard, latest, FIFO and average cost. Stock movement costs can also be converted automatically to another currency.

You can record batch numbers, serial numbers or production numbers against your stock. You may also choose to enter expiry dates for date sensitive stock. A stock movement can generate a printed document. For example, an issue note or transfer document can be produced. Documents may be printed on preprinted stationery, or plain paper as you require.
In addition to stock item and stock location information, SunSystems Order Fulfilment also allows you to specify the minimum and maximum stock levels required. Items are stored in Inventory Storage Areas which consist of Locations, Warehouses and Zones which can each be assigned sets of storage characteristics such as temperature and size. Entries are made against stock items within locations, and can be amended or deleted before being posted. All stock movements have a manually allocated movement reference. You can define separate transaction types to deal with all your stock movements. You can use presets to automate your entries.
Up to three costs may be entered for each stock movement. Costs may be automatically converted into a maximum of two other currencies. Both random and full stock takes can be requested. The default stock take cycle can be overridden for each inventory item. Multiple stock takes may be carried out simultaneously. Discrepancy processing is user defined. Discrepancy approval can be restricted by operator.
When stock movements are posted, transactions may be generated for SunSystems Financials. For a stock issue, these might credit stock and debit an expenditure account, although any combination can be defined. The Movement Order Entry function is used to transfer items from one storage location to another, and to move them in and out of the inventory. Sales orders placed in Sales Order Processing and defined as updating stock records, decrease free stock. Inventory items with serial numbers can be allocated individually to orders. Physical stock is decreased when goods are despatched, or when an invoice is printed.
Inventory Process Stages make up of the following:

 Order ConfirmationThe lines of the movement order are confirmed as being correct
 PickingThe goods detailed on the order line are printed on a picking list, so the order can be made up for dispatch to the customer.
 Pick ConfirmationWhen the goods have been picked, the order can be checked as being correct, or the amounts actually picked can be entered. These may differ from that originally ordered, for example, if the order has changed or if the full quantity ordered is not held in stock.
 DispatchThe goods are ready for sending to the customer and a dispatch note is produced to accompany the order.
 Dispatch ConfirmationThe customer has received the order, signed and returned the dispatch note. The amounts dispatched can then be confirmed on the system.
 Goods Receipt Entry/MatchingThe goods are received and matched against the order line.
 Goods Receipt InspectionThe goods are received and inspected
