A control desk is a generic SunSystems facility that allows you to extract selected data from the system. You can then view this data or pass it to another system function for further processing.
For example, control desks are used to:
  • extract and display selected transactions to provide inquiries, for example Account Inquiry.
  • extract selected transactions and pass them to a printing function, for example to produce account statements, picking lists, sales invoice, or dispatch notes.
  • select journals for import from the Ledger Import tables.
  • send selected transactions to account allocation for matching or split
  • send selected transactions to a payment function
Other features of Control Desks include the ability to:
  • present the results of the inquiry in a summarized format, depending on the summary details defined on the filter. These can then be expanded through a set number of levels down to the most detailed level.
  • resequence the results.
  • carry out further visual selection before launching an associated function.
  • drill to further data associated to the current data on display using drills defined in Drill Association Designer.
  • print the extracted transaction.
A control desk extracts data that meets any selection criteria required, and displays this data on the control desk output form. It displays the data at the level of detail or summary determined by the filter, as defined in Filter Designer.
The exact steps required to use a control desk depend on how the control desk filter and forms have been defined. However, some or all of the following steps may be required:
If a Navigation Manager menu option does not exist for the control desk, select one of the following general inquiry menu options to use Control Desk Filter Selection to identify the control desk filter to be run and click Run.
  • Ledger Inquiry (LQ)
  • Movement Inquiry (MQ)
  • Sales Inqury (SQ)
  • Purchase Inquiry (PQ).
1. Enter any run-time selection parameters required on the appropriate selection form.
Click OK.
2. The extracted data appears on the control desk output form, at the initial level of detail or summary determined by the filter definition.
You can view, resequence, implode or explode this data depending on the filter and output form features.
3. To pass selected data items on to another process:
Select the data items required and click Review.

Select the data items to be processed, as follows:
  • To select a single data item, click on the item.
  • To select another single data item, press Ctrl and click on the item.
  • To select a group of data items, drag the mouse in the selection column to the left of the items.
  • To select another group of data items, press Ctrl while you drag the mouse over the next group of data items.
Tip: To select all of the data items, from the Action menu select Review All.
Selected items are displayed, by default, on a blue background.
The selected data items are transferred to the Control Desks In-Tray form and listed there.
4. On the Control Desks In-Tray, you can use the deselect actions to refine the selection, if necessary. See Using the Control Desk In-Tray for more information, if required.
Refine the selections, select the batch process and click OK to launch this process.
In the Report or Batch Process dropdown list, select the process to be launched.

5. Click OK to launch this process.
From this point the process you have launched takes control. The forms that appear and the processing that takes place depends entirely on this process. For example:
if you initiate the Ledger Import Process, the Ledger Import Run-Time Parameters form appears.
if you select Account Documents to produce statements, the Document Format Report Parameters form appears.
if you select Matching or Split, the Account Allocation form appears.
When the process is complete, the control desk is redisplayed.

We had processed a journal which was balanced. After we posted it we found that one entry is missing and shows that a journal is not balanced

Has anyone used Control Desk to select open invoices across all suppliers and then used PAY to make just those payments?
