Page 1 of 2 Very often you need to give access to users for only specific Vision XL functions. For example you want to restrict access to Vision Ledger Import function to customer accounting users, and enable only extract transaction function. In this article we will show you how to define user profiles to restrict access rights in Vision XL.
User profiles are used to assign access to and remove access from user Ids so that only specific data can be extracted and specific functions can be used. They can be attached to many user IDs. There are two default user profiles that cannot be deleted:
- Admin, the profile automatically assigned to the VSU user ID.
- Guest, the default profile automatically assigned to new user Ids.
To create a new user profile log into Vision Utilities Setup (Start -> Programs -> Vision for SunSystems -> Utilities Setup ) Click on the tab "User Security": Click here to see a screenshot To create a user profile:
- Click New in the User Security area of the User Security tab to display a User Profile dialog box. Click here to see a screenshot
All Data Access Groups are clear and all functions are selected by default. - Enter a code, a description and select access levels and function access to apply to the profile.
- Click Save to save details and return to the Vision Setup dialog box.
This process can be repeated as often as required to create many new profiles. Code Enter a name for the profile. Description Enter a description for the profile. Go to Vision XL Tab Clear these function check boxes to remove access to those functions and table access from the user. There are some other tabs available where you can also define the access rights for other Vision tools like Vision Exec etc. But in our exercise we will need only Vision XL tab. General Tab
Data Access Groups Select this check box to activate the other group check boxes. Select group check boxes to apply SunSystems Data Access Groups to those groups for the profile. Note: Data Access Group codes are set in your SunSystems database. Once Data Access Groups are applied in Vision, SunSystems data access rules are followed for all extractions in Vision Executive and Vision XL. Tip: Data Access Groups is only invoked at the Database Level if the Ledger field is also selected. Other Clear these function check boxes to remove access to those functions from the user. Functions include: Language Reference Table Hierarchies Current Period / Date Dictionary Send Data Maintenance Integrated Security Vision Executive Tab Clear these function check boxes to remove access to those functions from the profile. (Vision XL) Tab This tab controls the settings for Vision XL 5.1-1 and previous releases. Clear these function check boxes to remove access to those functions from the user. Vision Alert Tab Clear these function check boxes to remove access to those functions from the user. Vision Budget Management Tab Clear these function check boxes to remove access to those functions from the user. Vision Word Tab Clear these function check boxes to remove access to those functions and table access from the user
