Page 5 of 5 Changing the Allocation Marker on All Transactions in Account Allocation The Action All option on Account Allocation (AA) enables you to change the allocation marker on several transactions at once. It changes the marker from one indicator to another, on all of the extracted transactions that currently contain the 'from' allocation marker. For example, you might use Action All to: change Unallocated markers to To Be Allocated to allocate all of the unallocated transactions. change Withhold markers to spaces to release the transactions for payment. change transactions with a marker of 3 to a marker of 4 to indicate the next stage of processing for bills of exchange. To Change the Marker on all Transactions: 1. Use the Extract facility to identify the transactions you require. You could use the Allocation Marker selection option to only select transactions with the marker you want to change. 2. From the Action menu select Action All to display the Manual Ledger Allocation Allocate All dialog. Click here to see the screenshot 3. In the From field, select an allocation marker. Any transactions extracted for allocation that have this marker are changed. 4. In the To field, select the new allocation marker to apply to the chosen transactions. 5. Click OK to find all of the extracted transactions with the From marker, and change the marker to the To marker chosen. Changing the Allocation Marker on a Range of Transactions The Range Allocate option in Account Allocation (AA) enables you to change the allocation marker on a range of transactions that fulfil criteria you specify. To Change the Marker on all Transactions: 1. From the Action menu select Range Allocate to display the Manual Ledger Allocation Range form. Click here to see the screenshot 2. Enter the required selection criteria in the Transaction Reference From/To, Transaction Date From/To, and Allocation Period From/To fields. Note: Allocation markers are only changed on transactions that meet all of the selection criteria entered. 3. In the Allocation Marker field, select the allocation marker to be changed . 4. If required, enter the monetary limit, in base amount, at which the change of allocation marker should cease. Allocation markers are changed in the order they appear on the Manual Ledger Allocation after Posting form, up to and including the transaction which takes the total of base amounts to, or over, the amount entered here. If no limit is required leave as '0.00'. 5. If a monetary amount has been entered, specify if this should be debit or credit by selecting the appropriate option in the debit/credit field. Alternatively this field can be used, with no monetary amount, as one of your selection criteria. 6. In the New Allocation Marker field, select the new allocation marker to apply to the chosen transactions. 7. Click OK. Posting Allocations When you have allocated the required transactions, you should post or save the allocations. To post allocations, from the Action menu select the Post option, or click Post. If the allocations do not balance, the posting process attempts to balance the allocations by calculating and applying settlement discount and postings exchange gains or losses. When the allocations are correct and in balance, the posting process performs the following tasks: 1. It updates the allocation markers on the allocated transactions. 2. It changes any other fields that you have amended, for example if you have changed the due date or an analysis code. 3. It posts any settlement discount, and settlement discount tax, transactions generated 4. It posts any realized exchange gain/loss transactions generated 5. It assigns the next allocation reference and the latest allocation date and period to the allocated transactions.
