Page 1 of 5 Account Allocation (AA) is used primarily to match transactions on an account. For example, a debtor/receivables payment transaction can be allocated or matched to the original invoice. You can fully match a group of transactions, and you can split a transaction if you need to match against only part of the transaction value. Account Allocation can determine whether settlement discount has been taken and post the discount and any tax on the discount automatically. It can also generate and post any currency exchange differences caused by fluctuating exchange rates. Account Allocation also allows you to: 1. change the allocation marker on a transaction, for example to reconcile the transaction, indicate the processing status of the transaction, mark it for immediate payment, or withhold it from payment. 2. alter the transaction analysis codes, description, entry date, payment terms code, due date and other payment related details
When you use Account Allocation you perform some, or all, of the following steps: Extract Account Transactions for Allocation The first step in the process is to select the transactions you want to allocate, or amend, on an account. The Account Allocation Extract facility provides powerful selection criteria for you to choose the transactions you require. You can specify ranges of accounting period, transaction date, journal type, journal source, transaction reference, entry date, allocation marker, and transaction analysis codes to identify the transactions you wish to select. You can also select transactions based on the currency codes, amounts and debit/credit indicator. You can use the selection criteria to select transactions based on: 1. accounting period, transaction date, ledger entry type, journal source, transaction reference, transaction analysis code, and entry date. 2. the type of transaction value in use within your organization: base currency, transaction currency, second base/reporting currency, fourth currency, and memorandum value. 3. the transaction currency code, transaction value, and debit or credit indicator. 4. the allocation marker, for example to include transactions that have already been allocated, or that reference a particular allocation marker. General Tab Click here to see the screenshot Accounting Period/To/All The range of accounting periods for which transactions are selected for allocation. If you want to allocate transactions for all periods, select All. Otherwise, specify the range of accounting periods you require. Transaction Date/To/All The range of transaction dates for which transactions are selected for allocation. If you want to allocate transactions for all dates, select All. Otherwise, specify the range of accounting dates you require. Journal Type/To/All The range of journal types for which transactions are selected for allocation. If you want to allocate transactions for all journal types, select All. Otherwise, specify the type of journals you require. Journal Source/To/All The range of journal source codes for which transactions are selected for allocation. If you want to allocate transactions for all journal sources, select All. Otherwise, specify the range of journal sources you require. Journal Number/To/All The range of journal numbers for which transactions are selected for allocation. If you want to allocate transactions for all journal numbers, select All. Otherwise, specify the range of journal numbers you require. Transaction Reference/To/All The range of transaction reference numbers for which transactions are selected for allocation. If you want to allocate transactions for all transaction references, select All. Otherwise, specify the range of transaction references you require. Entry Date/To/All The range of entry dates for which transactions are selected for allocation. If you want to allocate transactions for all dates, select All. Otherwise, specify the range of the dates you require. Allocation Marker The allocation marker for which transactions are selected for allocation. This defaults to Unallocated Only but you can select a particular allocation marker, for example, Paid Only or Forced Only. This is useful if you are using Account Allocation (AA) to adjust the allocation marker on selected transactions. For example, you may want to reset the Withhold marker to release transactions for payment. The following options are available:
