When you set up a new static data record, for example a new customer or supplier, you can assign a Data Access Group to restrict user access to the record. The following options determine whether or not the data access group restrictions you set on individual records are used or ignored, for particular types of reference data.
Note: The majority of these options relate to Order Fulfilment processing.
Customer Data Security
Set this option to use the Data Access Group codes entered on customers, to restrict user access to the customer records in the Order Fulfilment module. If this option is not set, any Data Access Group codes you enter on customers are ignored which means there is no restriction on who can process, view, enter or report on customers.
Supplier Data Security
Set this option to use the Data Access Group codes entered on suppliers, to restrict user access to the supplier records in the Order Fulfilment module. If this option is not set, any Data Access Group codes you enter on suppliers are ignored which means there is no restriction on who can process, view, enter or report on suppliers.
Definition Data Security
Set this option to use the Data Access Group codes entered on movement types, purchase types and sales types, to restrict user access for these transaction types in the Order Fulfilment module. If this option is not set, any Data Access Group codes you enter on any of these transaction type definitions are ignored. This means there is no restriction on who can process, view, enter or report on transactions for these transaction types.
Item Data Security
Set this option to use the Data Access Group codes entered on items, to restrict user access to the item records in the Order Fulfilment module. If this option is not set, any Data Access Group codes you enter on items are ignored which means there is no restriction on who can process, view, enter or report on items.
Warehouse Data Security
Set this option to use the Data Access Group codes entered on warehouses, to restrict user access to the warehouse records in the Order Fulfilment module. If this option is not set, any Data Access Group codes you enter on warehouses are ignored which means there is no restriction on who can process, view, enter or report on warehouses.
Financials Reports/Inquiries
Set this option to use the Data Access Group codes entered on financial analysis layouts, financial statement formats and financial table formats, to restrict user access to the financial reports defined in the Financials module. If this option is not set, any Data Access Group codes you enter on any of these report definitions are ignored which means there is no restriction on who can produce these financial reports.
