Once you have finished work on an account, and all notes are done, you are able to archive the notes that have been created for an account, or for a range of accounts.

From the Maintenance menu, select Archive Notes.

We will archive all notes that have been entered for account 64001.
In the Account Codes From field, enter account code 64001.
Enter today’s date in the Up to date field and click on Archive.
You are able to further refine the archive by completing the other fields in this screen.
Click on the Archive button to perform the archive of the notes.
Prior to performing an archive it is important to check that all notes have been set to “Note Done” and that any attached transactions have been allocated. If this is not the case, the archive will not take place.
The following confirmation screen will be displayed allowing you to view the notes that will be archived if you choose to continue:

If you do not want to archive some of the notes listed here, uncheck the Update field and that note will NOT be archived.
Click on Archive to perform the archive of the extracted note. Once complete, the note is no longer displayed in this screen.
Click Close twice to return to the Collect main screen.
You are able to view your archived notes from the Maintenance  Notes screen. Open this screen and select account code 64001.
To view all archived notes, click on the “Arch” option in the Note Archive Status field. The first archive note is then displayed:

If you want to see all notes, regardless of their Archive status, select the “All” option from the Note Archive Status field.
