Sun Documentation - Collect
Overview
Re-age all transactions within the ledger and update statistics across selected SunSystems companies for use when producing company DSO (Days Sales Outstanding) figures. Global Update is run to update ageing and statistical values that are stored on the Collect tables. The result of running the Global Update is a run history that you can select when running any of the DSO reports. It will also produce up-to-date ageing figures  and current Collect Statistics figures that are accessed via Account Details.

By updating Global Statistics you create a Run History that can then be used to produce the DSO (Days Sales Outstanding) Analysis Report.
Note: Initially, transactions in SunSystems Collect will not have been aged. This function must be run as part of the SunSystems Collect setup, and then also run regularly to keep the run history up-to-date.
Re-ageing Transactions.
 1. From the Maintenance menu select Global Update.
 2. Run For:
  • Global ReAge – age SunSystems Collect transactions. Tick this option to run Global Update to re-age all transactions within the ledger. This may also be done within the Account Details screen, under the Ageing Tab.
  • DSO Account Statistics / A Code Statistics / T Code Statistics – performs each of the calculations for these reports. Select this option if you wish to run the DSO Account/ T-Analysis Dimension Analysis report and view the latest DSO figures.
  • Global Statistics – allows you to enter a comment line, Global Statistics comment (at the bottom of the screen), that will display as part of the Run History.  Tick this option to update Account Statistics. This will affect the data that is displayed in the Account Details screen when using the Statistics function.
 3. Select the Account Types, Account Status and SunSystems Company/s (database/s) required.
Account Status
If required, you can select the accounts for inclusion in the Global Update based upon their status as per the Chart of Accounts screen in SunSystems. This can reduce the time spent running the update if, for example, you exclude Closed accounts from the analysis.
SunSystems Company
The “Available” list displays all business unit codes that you have in SunSystems. Select the business unit(s) you wish to perform the update for. You can select the code by either double clicking on it or using the arrows to transfer the code between the “Available” list and the “Selected” list.
Global Statistics Comment
This field allows for an optional text line to be added to the run history record that is created. At least one of Global Statistics or any of the DSO Statistics options must be selected for this field to be active. If you run Global Update for Global ReAge only, this field is not available.
Every time the Global Update is run, a Run History record is stored. This record can be viewed/removed using Maintenance >> Additional Details >> Run History.
 4. Click Run. If the run is processed successfully, a screen displays with the message "Finished Successfully".
This process updates the Global ReAgeing table and the information is retained after you log out of SunSystems Collect.
Re-aging individual account
In order to re-age individual account go to Account Details screen and jump to a tab "Ageing".
Re-Age - Ageing for each account's transactions does not take place automatically. Click on this button to re-age transactions according to the date entered in the Age As At field.
The precedence for calculation of the Due Date is :
  • If a due date has been entered manually during Ledger Entry (LE), this date has highest precedence.
  • If no specific due date is entered but the Journal Types (JT) has the Suppress Ageing field set to Y-Yes, then the transaction date is taken to be the due date.
  • Otherwise the due date is calculated by adding the transaction date to the payment days specified on the chart of accounts.
