By the end of this session, you will be able to run Vision XL and explain its main components.
Each of the Vision XLB functions and utilities enables the user to extract, manipulate or transfer data in a different way. Vision XL provides an intelligent link between SunSystems Accounts modules and Microsoft Excel allowing you to access and exchange data held in SunSystems data files from within Microsoft Excel. Vision XL is a Microsoft Excel add-in. It is represented as a menu item on the Excel toolbar or as a toolbar comprising individual function buttons. Vision XL is a part of the Vision suite of products and provides seven purpose-built functions, which can be used together or separately. These functions are: Reference File Link This function provides a dynamic link between Excel and SunSystems tables. The link is represented by a formula retained in a cell within an Excel worksheet, which can be saved with the worksheet and copied to other locations in your worksheet. This function only returns the value of a single record, however, a single formula can output multiple data items for that record. Reference File Fill Reference File Fill provides a straightforward way of generating reference data from Sun tables into an Excel worksheet. It is easy and quick to use. There are no formulas to enter as it is not a direct link to Sun, therefore, the function must be re-run if data in your Sun database changes. Extract Balances Extract Balances can be used to extract balances and reference information in various extract modes from your Sun tables into multiple cells within an Excel worksheet. This function maintains a dynamic link, which represented by a formula retained in an Excel cell, to your Sun modules. Extract Balances returns the value of the selected range to a single cell. A formula can output multiple data items for that range of records. Data Fill This function can be used to extract summary details reference information from Sun tables into an Excel worksheet. Unlike Extract Balances, the information extracted from Sun tables using Data Fill doesn’t reflect Excel formulas and permanent links to the Sun tables are not retained. Extract Transactions This function extracts transaction details from Sun tables into an Excel worksheet. For example, you can extract the details of all transactions for current period that have a particular analysis code. Send Data and Send Reference Details Use Send Data to export multiple data entries for Ledger Accounting or Fixed Assets and reference information (Chart of Accounts and so on) from an Excel worksheet into a transaction text file to import into a Sun database. For example, you can set up your worksheet with a New Chart of Accounts codes and then import them into Sun database using Transfer Manager. Macro Builder Macro Builder provides the facility to create an Excel macro that automates Vision XL activities. It stores a series of commands and functions that can be run whenever the activities are required.
Vision Setup Once installed, Vision needs to be activated in Excel by selecting the .xla file. This is done by using the Tools/Add-Ins function in Excel. But the next time you run Excel, Vision will be launched automatically again, if you don’t want Vision to start each time you run Excel do this:
- Close all windows and move your mouse over to the Windows desktop, click the right mouse button
- Create a new shortcut “New” ->”Shortcut”
- In the shortcut window click “Browse”
- Locate Vision directory and click on the file “LsVisXLB.xla”. This is Vision XL add-in.
- Click OK
- Click “Next” button
- Enter the shortcut description “Vision”
- Press “Finish”

Now every time you click “Vision” icon the Vision XL will be launched. Log into Vision entering your user ID and password. You will see Excel window with (Vision XL) menu item. There has now been a new Menu added. The Vision XL menu gives you access to the following functionality: Click here to see the screenshot Users can be given access to both or one of Financials and Order Fulfillment, assuming the Vision license covers both. You can also set user access to Vision XL functions.
