The aim of this session is to review how operators are setup in SunSystems.
By the end of this session you will be able to:
  • Describe the relationship of an operator to an operator group
  • Create a new operator according to the defined exercise
  • Amend an existing operator according to the defined exercise 
Operator Setup (OS) is used to establish the identity of each SunSystems user by defining an Operator Id. You can also define other user-specific details such as passwords and default business units. Each operator must belong to an operator group, which is defined using Operator Group Setup.  SunSystems is issued with a default operator group defined as 'ZZZZZ' Default System Operator Group. This group has no restrictions, so members of this group can access all functions and all types of data.

Operator Code
Enter a code to identify this operator. This is the Operator Id entered by the user to log in to SunSystems. You must only use alphanumeric characters and the code should be three characters long.  The current Operator Id is displayed on the status bar of all forms.
Description
Enter a description for the operator, such as the operator's job title or department.
Status
Lookup Code
Name
Enter the name of the operator. Since the Operator Code is limited to three characters, you can use a name to record fuller details about the operator. You might also use an operator name such as Overnight Reporting where an operator setup is created to carry out a specific routine.

Operator Group Code
Select the group to which this operator belongs, or select 'ZZZZZ' to choose the SunSystems default operator group.
Password
Enter a password for the operator Id. The password is displayed as '*' asterisks as you type. You can leave the field blank or enter spaces if you want the Operator Id to have no password at all. It is important that you make a secure note of each operator's password, as it is never displayed or printed on any reports.
Individual operators can amend their own passwords using Change Password.
Language Code
Select a language code. The language code defines the language in which the system is displayed to the operator.
Login Status
Display only. Displays the current login status of the Operator Id.
Default Business Unit
Select the default SunSystems business unit for the Operator Id. This allows operators to access forms for a specific business unit. However, operators can still use alternative business units by using Change Business Unit
Date Password Violated
Display only. This displays the date of the latest password violation for the Operator Id.  A violation occurs when an operator enters an incorrect password for an Operator Id. The violation prevents the Operator Id from being accessed again until it is cleared.
Default Budget
Select the default budget ledger for this Operator Id. This prevents budget code requests for those functions that do not have a budget code specifically defined.
Read Operating System Date
Select a login date setting. The options are:
  • Confirm at Login - the date is supplied and can be changed, but must be confirmed
  • Automatic - the date is supplied and cannot be changed. No confirmation is required
  • Force Entry - the date must be entered by the operator
