Overview
Notes detailing actions taken, or actions to be taken in the future, can be attached to your debtor accounts. A note can then be linked to any number of transactions. A note can be entered or edit from Account Details screen by clicking "New" or "Edit" buttons at the bottom of the screen.

Overview
Account Details is one of the most widely used Collect functions. From this window a query handling clerk or credit controller can obtain all necessary information about the customer. This screen can be used to:
  • maintain (add, change, delete) SunSystems Collect setup data, or,
  • inquire and act upon collection details.

Searching for an Account in Collect PDF Print E-mail

SunSystems Collect has a powerful search functionality, that enables you to find a customer using different search criterias

 1. From the Inquiry menu select Find.
 2. Enter the account code or range of account codes.
 3. Check debtor, creditor and/or client account type.
 4. Enter the full and correct account name in the Account name field. If this is not known,.enter as much of the name as possible using the % sign to indicate unknown elements, for example:
  • the%, returns all accounts with the word the at the start of the name.
  • %the, returns all accounts with the word the at the end of the name.
  • %the%, returns all accounts with the word the within the name. 
 5. In the Address fields:
  • check the And option to specify that each one of the fields entered in the Address screen must be matched to return a record.
  • check the Or option to specify that any one of the fields entered in the Address screen must be matched to return a record.
 6. In the Contact fields:
  • check the And option to specify that each one of the fields entered in the Contact screen must be matched to return a record.
  • check the Or option to specify that any one of the fields entered in the Contact screen must be matched to return a record. 
Tip: When searching by phone or fax number, enter a single phone or fax number and a search will be performed on all phone number fields or fax number fields within contacts and addresses.
 7. Click Search.
 8. When the list of records is returned, click Select to display the Account Details screen for the record, or Details to display a list of transactions.

Global Re-ageing and Statistical Update PDF Print E-mail

Overview
Re-age all transactions within the ledger and update statistics across selected SunSystems companies for use when producing company DSO (Days Sales Outstanding) figures. Global Update is run to update ageing and statistical values that are stored on the Collect tables. The result of running the Global Update is a run history that you can select when running any of the DSO reports. It will also produce up-to-date ageing figures  and current Collect Statistics figures that are accessed via Account Details.

By updating Global Statistics you create a Run History that can then be used to produce the DSO (Days Sales Outstanding) Analysis Report.
Note: Initially, transactions in SunSystems Collect will not have been aged. This function must be run as part of the SunSystems Collect setup, and then also run regularly to keep the run history up-to-date.

Finding an Account in Collect PDF Print E-mail

Collect has a very powerful and flexible search function. You can serach accounts by account name, address code or contact last name.
The Find function can be used to locate all account codes meeting a set of pre-defined search parameters.

We are going to find all customer accounts that are have the word “limit” somewhere in the account name. From the Inquiry menu, select Find. The following screen will then open.
Use the tabs at the top of the screen to enter your search criteria.
In Account Name enter %limit%.
This way Collect will find all customer accounts that have limit in their name. Click on Search to perform the search. The search will extract the following accounts:

If you would like to view the transactions for any of these account, select the account and click on the Transaction button located at the bottom of the screen.
Address Fields / Contacts Fields: And/Or
Use these fields to indicate if the selection made in the Address and Contact tabs are “and” or “or” selections.
For example, if you enter a Company name of %limited% and a Address Line5 of UK in the Address tab, are you searching for all accounts that have “limited” in the company name AND are in UK? Alternatively, are you searching for all accounts that have “limited” in the company name OR are in UK?
