Extract Balances PDF Print E-mail
User Rating: / 1
By the end of this session, you will be able to create a report using the Extract Balances function.
Use Extract Balances to extract both balances and reference information in various extract modes and also user defined calculations from your SunSystems data into multiple cells within an Excel worksheet.

Overview
Extract Balances maintains a direct link to your SunSystems files and creates Excel compatible formulas for each entry. Formulas are updated after recalculating. You can copy these formulas to other locations in your worksheet or use them as references.
Once you have set up a worksheet using Extract Balances, you can edit the formulas within the definition form to return the same information against different data. For example, you can set up your worksheet to show the total cost and average cost of purchase orders for one supplier using the supplier address code as the reference link. If you change the address code then recalculate, the total and average purchase orders costs for the newly entered supplier is returned.

Multiple line VBScript formulas such as ‘if’ statements can be used. For example, using the statement below you can extract all accounts and label each as either Profit & Loss or Balance Sheet:
If {CA\Account Code} >=”10000” then
      Result  = “Profit & Loss”
Else
      Result = “Balance Sheet”
End If
Create a Data Fill definition like shown below and press  User Defined Output:

Data Selector and Vision XL Macro Builder PDF Print E-mail
User Rating: / 2
By the end of this session, you will be able to create a Data Selector that uses a Workbook file, and then create a Reference File Link that extracts information on the code chosen. You will also create a macro.
Discuss in forum
Overview
Use Data Selector to create and display a dynamic lookup on single or multi-column ranges of data or Vision XL Setup and Workbook files. Data Selector consists of Data Selector Maintenance, where lookups are designed and the Data Selector lookups themselves, used to extract information.
A Data Selector lookup is accessed by a button that runs a lookup macro. Data Selectors, i.e. the buttons, can be displayed anywhere on your worksheet and can be edited at a later stage. There is no limit to the number of Data Selectors that can be added to a worksheet.
Data Selectors extract lookup information to cells relative to the position of the Data Selector on the worksheet. For example, if you copy a Data Selector to a new location on your worksheet, the information is extracted to another cell relative to the position of the new Data Selector.
The source of information displayed in Data Selector lookups is selected using either a defined name, a cell range or Setup and Workbook files within the Vision XL functions, Reference File Fill, Data Fill or Extract Transactions. Using a Setup or Workbook file as the data source ensures the data displayed in the lookup is always current as the file is re-extracted each time the Data Selector is used.
You can also use Data Selectors to reference filtered information from associated reports. For example, a lookup containing current debtors can be used to return a debtor code, which can in turn be used in an Extract Transactions report.
Use Macro Builder to create macros, similar to Excel, that automate Vision XL activities you perform frequently. Macro Builder stores a series of steps, i.e. commands and functions, which can be run whenever you need to perform the task. For example, you can click a macro button on your worksheet that enters a value in a formula, recalculates your worksheet and runs a macro relating to the worksheet then opens a Send Data Periods Setup file in which to save the new data.
Any number of steps can be stored in one macro and you can edit the macro in the same way as you edit an Excel macro.

Offline Formula PDF Print E-mail
User Rating: / 2
Offline Formulas allows values that have been extracted using Vision XL formulas to be retained in an Excel workbook when the workbook is opened but the Vision XL add-in is not loaded.
Offline Formulas allows an active workbook the ability to operate without the use of the Vision XL add-in. The workbook can then be distributed to users who do not have the Vision XL add-in installed.
If a workbook with Offline Formulas is open and the Vision XL add-in is also open, Offline Formulas recalculates the value using the add-in. Individual formulas may be recalculated, even if the workbook is indicated as being offline, by opening the relevant definition form and clicking OK.
If formulas are offline, the workbook may be recalculated even if the Vision XL add-in is not loaded but the existing value is retained and does not return ‘#VALUE!’.
Offline Formulas applies to an entire Excel workbook.
Offline Formulas cannot be applied to workbooks containing Vision XL macros with Macro steps that require the Vision XL add-in.
Offline Formulas does not prevent users from amending or deleting the Vision XL formulas or changing the extract figure when the add-in is loaded.
To enable this option go to “Vision XL” -> “Utilities” -> “Offline Formulas”.

Function Launcher PDF Print E-mail
User Rating: / 0
Function Launcher opens the Vision XL function associated with a specified Setup or Workbook file and loads the Setup or Workbook file. Function Launcher can also open the Report Designer if required. Function Launcher enables the user to open a Vision XL report without having to go to the specified function.
You can enter a Setup or Workbook file name, cell reference or Name in the Setup/Workbook File field to specify which Setup file or Workbook file you want to edit, either by clicking the assist button or by typing. Click OK to load the relevant function: Reference File Fill, Extract Transactions, Data Fill, Macro Builder, Send Data (SunSystems 4 only) Budget Transfer (SunSystems 4 only). The Function Launcher window then closes.
The last Workbook or Setup file opened is retained in the Setup/Workbook File field allowing you to continually update the same report without having to reselect it each time. Select the Report Designer check box to load the relevant function and open the Report Designer when you click OK.
In order to use the Function Launcher in your Excel Workbook click on to a Clear Cell. You will now reopen the Workbook File you have saved during your work on Data Fill, but rather than going to Data Fill and loading the Workbook File from there, you will load it using Function Launcher.
Go to: “Vision XL” -> ”Utilities” -> “Function Launcher”. This utility allows users to open a Workbook File or Setup File without the necessity of opening a function such as Reference File Fill, Data Fill, or Extract Transactions, then loading the previously saved Workbook or Setup File:
The alert message comes up asking if you want to use the Workbook File? Yes to select a Workbook File, No to select a Setup File. Click Yes.
Here is a complete list of Workbook Files, regardless of Vision XL function they were created by:
Choose one and click OK.
